COI tracking options for small contractors
There are good free tools. Here's who fits what, including when you don't need us.
| Option | What their page says (pricing) | Who does the chasing |
|---|---|---|
| Spreadsheet | Free | You |
| bcs self-service | Free up to 25 vendors, then $0.95/vendor/month | You |
| TrustLayer Starter | Free up to 50 vendors; paid plans quoted | You |
| SubCover | Free for 5 subs; $29/month unlimited | You (automatic reminders) |
| SubDoc | Free for 3 vendors; Pro $20/month up to 100 | You (automatic reminders) |
| CertChase | Free up to 12 subs; $2/sub/month (max $175 up to 100) | Them |
| VendorPapers | Free check of up to 10 certificates; $49/month | Us: renewal requests to the agent on each certificate |
When another option is better
- You want a dashboard and subs uploading through a portal: a free tier from bcs, TrustLayer, SubCover or SubDoc.
- You need Procore/ERP integrations or insurance-expert endorsement review: an enterprise platform.
When VendorPapers fits
- You'd rather forward certificates by email and have someone else chase renewals
- You also need W-9s collected for 1099s (guide, $29 pack)

FAQ
What is the cheapest way to track subcontractor COIs?
Under about 10 subs, a spreadsheet with expiry dates and reminders works. Several tools have free tiers (bcs up to 25 vendors, TrustLayer Starter up to 50, per their sites). VendorPapers offers a free check of up to 10 certificates and $49/month if you want renewals chased for you.
Is VendorPapers software or a service?
A done-for-you automated service: you email certificates, we read them, track expirations and email renewal requests to the agent on the certificate. There is no portal for you or your subs to learn.
